Responsibilities

  • Manage employee and visitor attendance to the office building by coordinating with building representatives.
  • Receive and direct incoming calls to appropriate team members with professional, helpful attention.
  • Manage key-card access system of employees, contractors, and visitors in the system.
  • Serves as contact person for building management and maintenance.
  • Oversees the maintenance of office systems such as copier/ printer, MS Teams and is the office support point of contact.
  • Prepare all outgoing overnight packages and accept/disperse in-bound packages.
  • Proactively maintain clean and professional common areas, including front desk, lobby, work café and conference room areas.
  • Maintain office supplies, snacks and refreshments - order replacements and daily re-stocking.
  • Prepares, organizes and submit invoices and payment requests; file corresponding paperwork; update tracking documents.
  • Process vendor contracts and payments; coordinate with vendors regarding payment questions.
  • Prepares a variety of reports and other documents, including maintenance of databases, spreadsheets, and tracking logs.
  • Compile and format content for office related projects including transcribing and translation of documents from English-Japanese.

Qualifications

  • High school diploma or general education degree (GED); and 3 years office services and administrative experience or equivalent combination of education and experience.
  • Buiness level Japanese (Reading/writing/speaking).
  • Business level computer skills (Word Processing software; Excel Spreadsheet software and Internet software).
