Japanese Bilingual Medical Office Manager
Position: Japanese Bilingual Receptionist / Medical Office Manager

Responsibilities
- Clinic Operations: Manage day-to-day operations, patient flow, scheduling, exam room utilization, and workflow standardization
- Staff Leadership & HR Coordination: Supervise and support front desk, clinical, and nursing staff; assist with hiring, onboarding, scheduling, performance management, and HR compliance
- Provider Support: Coordinate provider schedules, onboarding, PTO, credentialing, and ongoing administrative needs
- Medical Supplies & Inventory: Oversee ordering and inventory of medical supplies, labs, and vaccines, including flu clinic planning
- Billing & Revenue Oversight: Monitor insurance processes, billing performance, denials, collections, KPIs, and revenue leakage
- EHR & Systems Management: Support EHR workflows, documentation accuracy, staff training, troubleshooting, and system upgrades
- Compliance & Risk Management: Ensure compliance with HIPAA, OSHA, CLIA, and other regulatory requirements; manage audits and renewals
- Vendor & Financial Oversight: Manage vendor relationships, accounts payable, invoices, recurring expenses, and budget tracking
- Patient Experience & Quality: Address escalated patient issues and maintain a consistent, high-quality patient experience
- Growth & Marketing Support: Coordinate operational readiness for marketing campaigns and increased patient volume
Qualifications
- 3–5+ years in a medical office or healthcare administrative setting
- 1–3+ years in a management or office manager role
- Bilingual in English and Japanese
- Strong organizational and multitasking skills
- Experience with clinical workflows, medical terminology, and EHR systems

Position Summary
- Oversees administrative, clinical operations, and staffing for a multi-provider medical practice, including affiliated mental health services
- Combines hands-on clinic operations management with practice-wide operational oversight
- Ensures efficient workflows, strong provider and staff support, regulatory compliance, and alignment with growth initiatives
- Acts as a central liaison across providers, clinical staff, administrative teams, vendors, and external partners
